Your privacy is important to us. It is Portland Women In Technology’s (PDXWIT) policy to respect your privacy regarding any information we may collect from you across our website, https://www.pdxwit.org, and other sites we own and operate.

We only retain collected information for as long as necessary to provide you with your requested service. What data we store, we’ll protect within commercially acceptable means to prevent loss and theft, as well as unauthorized access, disclosure, copying, use or modification.

We don’t share any personally identifying information publicly or with third-parties, except when required to by law.

Our website may link to external sites that are not operated by us. Please be aware that we have no control over the content and practices of these sites, and cannot accept responsibility or liability for their respective privacy policies.

You are free to refuse our request for your personal information, with the understanding that we may be unable to provide you with some of your desired services.

Who we are

We are a community-based non-profit organization. PDXWIT (Portland Women in Tech) empowers individuals within the Portland-area tech industry by offering community and skill-building events, mentorship, and access to jobs and opportunities. We dedicate ourselves to nurturing community leaders, advocating for the underrepresented, and inspiring change both locally and in the wider world. We leverage our leadership, commitment and influence towards reducing the imbalances that exist today in an industry that is shaping the future of humanity.

What personal data we collect and why we collect it

We collect information in the following ways:

Information you provide by completing forms on PDXWIT, such as our newsletter sign-up forms, surveys, or other forms.

Details of any requests, activity, or transactions you make through the Services. PDXWIT partners with other companies (such as MailChimp Eventbrite, SurveyMonkey, and PayPal) for email marketing and payment processing. The payment information you submit is collected and used by Paypal in accordance with their privacy policies. PDXWIT doesn’t store your payment information unless you explicitly release it to us as part of any products we sell directly on our platform;

Information about your activity on and interaction with PDXWIT, including use of our website (such as your IP address, the type of device or browser you use, and your actions on the Site) and email newsletter (such as what links you click and if and when you open the email) — we use Google Analytics and MailChimp for gathering this data;

Information about the ways people visit and interact with our Site, in the form of traffic analytics. You can opt-out of being included in Google Analytics by emailing us at hello@pdxwit.org For more information about our use of data analytics to protect and improve our Services, see our Cookie Policy below;

Communications you send to us (for example, when you ask for support, send us questions or comments, or report a problem);

Information that you submit on or to PDXWIT in the form of comments, contributions to discussions, or messages to other users;

We may collect other types of personal data if required under applicable law or if necessary for the purposes listed above. We will then inform you and ensure that there is a valid legal basis for doing so.

You may decline to provide us with your information and ask that your information be removed. However, this will limit your ability to register for an account or use our Services. For example, if you decline, you may not receive our email newsletter. You may review, change or remove your information through your account settings.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you enter information on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited.

Fonts

This website uses font files from Google Fonts and Adobe Fonts. To properly display this site to you, servers where the font files are stored may receive personal information about you, including:

  • Information about your browser, network, or device

  • Your IP address

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with

First and foremost, we make sure to encrypt and pseudonymize any personally identifiable information so that it’s not seen by the public.

We may share your social media handle(s) in our communications if you have meaningfully interacted with us or our Services. We do not ask for explicit consent to display this type of information as you are interacting in a public forum with us and other users of the service, using a public profile name.

The following data will not be publicly displayed or revealed to other users, unless you grant us explicit consent:

Any payment information you provide;

Your email address;

Your mailing address;

Your IP address;

Any other private profile information, in accordance with your account settings and profile; and

Communications you send to us (for example, when you ask for support, send us questions or comments, or report a problem).

In some instances, we may also share your information to the following parties and for the following reasons:

Competent public authorities or other third parties, if required by law or reasonably necessary to protect the rights, property and safety of ourselves or others.

Service providers under contract who help with our business operations. We employ these companies and people to perform tasks on our behalf and need to share your information with them to provide products and services to you.

We do not sell personal information to third parties. The data that is usually shared with affiliates and promotional partners is in aggregate and not at an individual level.

We may also transfer your personal data in the event that we sell or transfer all or a portion of our business or assets on a need to know basis. Should such a sale or transfer occur, we will use reasonable efforts to direct the transferee to use personal data you have provided to us in a manner that is consistent with applicable law and this Privacy Statement.

We do not sell, rent or trade your personal information.

How long we retain your data

If you submit information on our site, the content and its metadata are retained indefinitely.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have entered content, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor submissions may be checked through an automated spam detection service.

Data Transfer

Because PDXWIT is a US-based company, your information will be collected and processed in the United States. The United States has its own laws governing data protection and government access to information. The rules that protect your personal information under United States law may be different than in your home country.

Ads

The following information (made available from the visitor’s browser) is collected and sent to Automattic’s Demand Partners: IP address, geographical data (derived from the IP address), user agent, operating system, device type, unique user ID (randomly generated identifier), current URL, and IAB (Interactive Advertising Bureau) interest category. Log data (IP address, geographical data, user agent, operating system, device type) is stored for 30 days. The unique user ID is stored in cookies and is retained for 1 year.

Ad impressions, video-related events (i.e. pause, mute, 100% plays, etc.) or errors, and ad click events may be tracked. Various cookies are used for the following purposes: delivering targeted advertisements to specific visitors, storing user identifiers, and collecting anonymous ad platform stats.

Squarespace, Jobboard.io and Google Analytics

This website collects personal data to power our site analytics, including:

  • Information about your browser, network, and device

  • Web pages you visited prior to coming to this website

  • Your IP address

This information may also include details about your use of this website, including:

  • Clicks

  • Internal links

  • Pages visited

  • Scrolling

  • Searches

  • Timestamps

We share this information with Squarespace, Jobboard.io and our website analytics provider, to learn about site traffic and activity.

Notifications

Data such as IP address, user ID, username, site ID and URL, visiting URL, referring URL, timestamp of event, browser language, country code may be used. Some visitor-related information or activity may be sent to the site owner via this feature. This may include: email address, username, site URL, email address, comment content, follow actions, etc.

Sending notifications (i.e. when we send a notification to a particular user), opening notifications (i.e. when a user opens a notification that they receive), performing an action from within the notification panel (e.g. liking a comment or marking a comment as spam), and clicking on any link from within the notification panel/interface may be tracked.

Protect

In order to check login activity and potentially block fraudulent attempts, the following information is used: attempting user’s IP address, attempting user’s email address/username (i.e. according to the value they were attempting to use during the login process), and all IP-related HTTP headers attached to the attempting user.

Failed login attempts which contain the user’s IP address, attempted username or email address, and user agent information are logged. Cookies may be used by Jobboard.io (ZipRecruiter) as well. 

Search

Data is used for any of the visitor-chosen search filters and query data in order to process a search request on the servers.

Sharing

When sharing content via email, the following information is used: sharing party’s name and email address (if the user is logged in, this information will be pulled directly from their account), IP address (for spam checking), user agent (for spam checking), and email body/content. Additionally, if reCAPTCHA (by Google) is enabled by the site owner, the sharing party’s IP address will be shared with that service. You can find Google’s privacy policy here.

Simple Payments

Transaction amount, transaction currency code, product title, product price, product ID, order quantity, PayPal payer ID, and PayPal transaction ID will be utilized to process data.

The PayPal payer ID, transaction ID, and HTTP referrer are sent with a payment completion tracking event that is attached to the site owner.

Because payments are processed by PayPal, we recommend reviewing its privacy policy.

Hosting of our sites

Personal information (as defined above) hosted by or on Squarespace or Jobboard.io is subject to their privacy policy which may or may not contain terms as protective as this Privacy Policy. By using our Site, you are agreeing to be bound by their respective privacy policies.

Squarespace and JobBoard.io collects personal data when you visit this website, including:

  • Information about your browser, network and device

  • Web pages you visited prior to coming to this website

  • Your IP address

Squarespace and Jobboard.io need the data to run our websites, and to protect and improve its platform and services.

 

State of the Community Survey FAQ / Privacy Notice

Why Does PDXWIT Conduct This Survey?  

We conduct this survey with the goal of deeply understanding the experiences of individuals working in the tech industry or interested in pursuing careers in technology. We do this to identify themes that need to be addressed and use the results to inspire action and advocacy in our community.  We also use this data to determine our priorities, informing our future programming and initiatives.

Is This Survey Anonymous?  

Yes. This survey is 100% anonymous. 

We use SurveyMonkey, an online survey tool, to execute our survey and capture results. SurveyMonkey gives us the option to set up our survey to be conducted anonymously without tracking or storing identifiable respondent information in our results. 

What Is PDXWIT’s Privacy Policy?  

PDXWIT’s privacy policy is detailed here and has been created with the goal of protecting the privacy of all who interact with our organization. 

As we explain in our policy, we collect data in order to provide services including educational programs, partnerships, mentorships, resources — including our annual survey — and opportunities. We retain collected information only as long as necessary to provide you with your requested service. What data we store, we’ll protect within commercially acceptable means to prevent loss and theft, as well as unauthorized access, disclosure, copying, use or modification. We don’t share any personally identifying information publicly or with third parties, except when required to by law.

What About Information That Could Be Traced Back To Me? Like Employment, Compensation or Demographics Data?   

Again, we want to stress that this survey is 100% anonymous. We do not have the ability or the intent to trace any survey completion back to one individual or specific employer. 

We will ask high-level questions about your employer (note this DOES NOT include asking the specific name of your employer), employment status and compensation, as well as questions about your age, ethnicity, gender and education level. We ask these questions in order to better understand the diversity of experience across all participants as we know from past surveys of our own, as well as the vast body of research available, that white cisgender men and women have significantly different experiences than those of black, indigenous and people of color (BIPOC). It is not required that you answer these questions, but if you do, your answers will only be used to categorize the aggregate survey results and will not be used to trace your responses back to you. What Data are you Tracking? 

For marketing purposes, we are using UTM codes to track the source through which you came to our survey. 

In order to continually increase the reach and participation rate for this survey, we evaluate the effectiveness of the various marketing channels we use to promote the survey. This is done using UTM (Urchin Tracking Module) codes, which are simple codes attached to custom URLs in order to track a marketing source, medium, or campaign name. This method does not involve user’s IP addresses or any other personally identifiable information. As an example, if you are made aware of our survey via Twitter and click on the link in the Tweet to visit SurveyMonkey and complete our survey, the only data that would be recorded by PDXWIT would be that an anonymous user who came from Twitter completed the survey. 

Who Has Access to Survey Data?

Our survey results data is stored within the Survey Monkey platform. As noted above, we execute our survey using SurveyMonkey’s anonymous survey setting, which does not trace or store respondent’s IP addresses or other personally identifiable information. The raw survey data can be accessed via Survey Monkey by PDXWIT staff members, contractors (an analyst and a designer), our founder and board members, and our survey team, which is comprised of four volunteer PDXWIT members. We will not grant SurveyMonkey access or share the raw data with any third parties or individuals beyond those noted above.
